nTask Overview

nTask Overview HighTechBlogging

nTask is a relatively new project management tool that seems hell-bent on storming the top of our rankings. In this full review of nTask, let’s take a look at how it succeeds.

nTask is a relatively new kid on the block. However, it seems determined to bag a spot at the top by offering a solid, easy-to-use tool at low prices. Whether that’s enough to give it that coveted high ranking, let’s see at the end of this full nTask review.

Key Takeaways:
nTask has a solid free plan for up to five team members that should allow you to run simple operations without any real problems; the only real problem with the free version is that it doesn’t have a Kanban board.
It’s a bargain. Of all the project management software we have reviewed, nTask is one of the cheapest and probably the one that offers the best value for money.
nTask has most of the features you need and has implemented them to a high standard. It offers Kanban boards, Gantt charts, time tracking, meeting management, etc.

In summary, nTask appeals to individuals and companies looking for a robust and versatile project and task management tool (see the difference between task management and project management). Instead of building a sprawling piece of software that does everything more or less decently, it focuses on a few features and performs them well. If that sounds like you, we recommend you give it a try.

However, thanks to a few minor issues, our project management experts rate it slightly below industry leaders like monday.com or Asana, which can simply do more and do it a bit better, as you can see in our roundup of the best project management software and list of the best free project management software. Still, there’s a lot to like, so let’s get started.

Features

95 % – Excellent
95/100

As we mentioned in the introduction, compared to other project management software, nTask is a solid competitor in what it can do. It has most of the basic features, plus some advanced ones. Let’s break down its features by plan.

nTask Free Plan Features

nTask’s free plan is aimed at teams of five people or less and offers some basic features that are likely to suit a team of that size very well. You can create and manage tasks in a list, with a calendar and a single grid as alternate views.

nTask Free Plan Features HighTechBlogging

The grid is a unique way of looking at tasks. It is very limited in the sense that you can only use it to get an overview of things; the cards cannot be moved around like on a Kanban board. That said, in the end, we quite liked it, as you can easily see things at a glance. No looking at lists of cards, trying to see the one you need.

nTask Free Plan Features HighTechBlogging

In addition to these two views, you also have access to a meeting planner, which is quite unique among most project management tools. It has an integrated note-taking tool, which gives you and your team a centralized place to reference all the highlights of the discussion. We also like the ability to link a task to the meeting, which removes any doubt about the purpose of the meeting.

Agile Project Management

nTask is also considered an agile tool and as such offers issue-tracking features. This is managed through the “issues” tab and works really well. Although we have a feeling that Agile veterans will prefer Jira, the winner of our roundup of the best software for a scrum.

Last but not least the features of the free plan are the built-in time tracking, making nTask a rival to Asana or Wrike. Unlike Wrike, however, it offers time tracking as a free feature, and you don’t have to add it separately, as with Asana.

All saved time is collected on the “timesheets” page in neat rows, making nTask ideal for anyone who bills by the hour but doesn’t want to spend too much money on it.

Agile Project Management HighTechBlogging

Overall, nTask’s free plan is excellent. The only thing we think is missing is a Kanban board. Although you can always do without it or perhaps use Trello separately and integrate the two using Zapier or IFTTT. Alternatively, you could upgrade to the Premium plan, which we’ll look at next.

nTask Premium Features

The Premium plan is where nTask really starts to shine. While the free version is a perfect task manager, the paid level is where it becomes a full-fledged project management tool. The first indication of this is the added “projects” tab, which allows the management of different projects at the same time, advanced project planning, and task distribution.

In addition to this, the other big attraction of the Premium plan is the Kanban boards. Each project you create is automatically assigned a Kanban board with some prefabricated columns. We like the Kanban boards, although they feel a bit cluttered. However, the drag-and-drop functionality works as it should, and we like how you can see the subtasks on the front of the boards.

nTask Premium Features HighTechBlogging

We probably won’t nominate nTask as the best Kanban-based project management tool – it has too much competition in Trello and Wrike – but it’s pretty solid. The last big addition to the Premium plan is the Gantt chart, which is pretty decent. It is accessed through the “projects” page.

nTask Premium Features HighTechBlogging

Unlike most of the competitors that advertise Gantt charts, nTask’s is really good. It could even replace TeamGantt in some respects. We like its zoom capability and some other little touches that nTask doesn’t have. You can set dependencies by clicking and dragging, although subtasks are not shown, which is a shame.

Features for the Business and Enterprise Plans

The Free and Premium plans cover most of nTask’s basic features, while the Business and Enterprise plans are primarily for advanced features. The Business plan gives you the ability to assign custom roles and permissions to team members, giving you the power to decide who sees what, as well as allowing you to customize statuses and set risks (potential future obstacles).

Features for the Business and Enterprise Plans HighTechBlogging

The biggest advantage of the Enterprise plan is that you can self-host nTask and you get additional options when you start with it. We see how this could be very valuable for large enterprises, but if it’s just you and a few others, it may not be a great option. If the self-hosting option is critical to you, take a look at Jira, as it’s included for free.

The really juicy stuff is all in the free and premium plans, which means nTask has one of the best feature distributions we’ve seen so far. That’s the good part; the even better part is its pricing, which we’ll discuss below.

Pricing

95 % – Excellent
95/100

nTask is downright cheap. It even beats Jira’s prices by a country mile, making it the best deal on the market, especially if you’re running a small business. Let’s take a look at the numbers.

Pricing HighTechBlogging

We reviewed the features of the free plan in the previous section. While we believe there are better free options, the jump from free to premium is so small that it hardly matters. In fact, it’s probably a marketing tactic, and a smart one: with prices this low, you’re more likely to produce the company credit card.

nTask Review: Paid Plans

The Premium plan is the cheapest payment option available for project management tools, at only $3 per user per month if paid annually.

The Business plan is also a good deal, though perhaps not as good as the Premium plan. While, for example, monday.com is priced a bit higher (and Asana’s price is twice as much), you get more advanced features when using either, so we would recommend it. However, if you only want to assign one role, it’s still a good deal.

The main attraction of the Enterprise plan is the ability to self-host nTask. We’re hesitant to say whether its other features are worth what you’re quoted, as nTask didn’t get back to us when we asked how much the Enterprise plan would cost.

nTask Storage Allotment

User-Friendliness

90 % – Excellent
90/100

When it comes to ease of use, nTask is one of the best options out there. Everything is laid out in front of you, without having to go back and forth, as with Wrike. However, there are a few issues that keep nTask from completely winning us over.

Signing up for nTask is as easy as going to the website and clicking the button at the top right of the screen. From there, all you have to do is enter your work email address and you’re subscribed to the free plan.

User-Friendliness HighTechBlogging

The rest of the registration process is extremely simple. Just enter a few personal details and, with a few clicks, you’ll be on the main nTask screen, ready to manage projects and tasks.

User-Friendliness HighTechBlogging

If you want to try the Premium or Business plans for 14 days, just click on the blue “Upgrade Now” button at the bottom left of the screen, no credit card required.

nTask Organization

We like the way nTask is organized: the bar on the left is a personal view of your assigned tasks, which is a great overview. The top of the main screen is your navigation, with the large area below it serving as your work area. This setup never switches between the different screens and areas, which means you can go from any screen to any other, which is great.

As we mentioned in the features section, the list is where all the task management is done, which is nTask’s bread and butter. Once you’ve created a task, click on it to see the back of the card (as with most project management tools). From there, you can do all sorts of interesting things, such as setting up recurring tasks or scheduling a management meeting related to the task.

nTask Organization HighTechBlogging

On the back of the card you also assign the tasks to the different team members. Here you also have some nice team collaboration options, such as the possibility to start a discussion thread about the task (ideal for remote teams).

Meetings, projects, and issues work in much the same way: go to the corresponding tab, create a new meeting, issue, or project, and click on it to see the details. In most tabs, you can choose to view the items in a list or in a grid, and often also in a calendar. Overall, other services could learn from nTask’s amazing overview and ease of use.

Room for Improvement

However, there is one thing we didn’t like: in any tab, you can only manipulate the details of the items associated with it. In projects, you can only manipulate projects; in issues, only issues; you get the idea.

This can be annoying if you want to make a quick change to a task while in the project view. Fortunately, the top bar allows for quick navigation, but it can still be a bit frustrating.

Security & Privacy

Security & Privacy HighTechBlogging
80 % – Good
80/100

nTask is less impressive when it comes to security and privacy, but then again, so is little project management software.

Privacy is a bit iffy, while security is a bit better, but it hosts files using AWS, which comes with some issues.

Many companies make use of AWS, and we understand why, but it often leads to the problem of leaky buckets. These are generally easy to avoid, but all it takes is a panicked intern or a coffee-deficient administrator to potentially expose your data. However, security is robust, with high-level encryption on both sending and storing files.

The privacy policy has less to defend. While nTask makes it clear that it won’t sell your data, it does collect a lot of information about you, some of which will be used for marketing purposes. That said, it doesn’t appear to sell any data, so we’ll give nTask the benefit of the doubt.

Customer Support

90 % – Excellent
90/100

nTask offers great customer service and tutorials. It comes with little pop-up tips when you get started, has a great knowledge base, and has friendly, supportive staff. Email support is a bit slow, but that’s the worst we have to say about it.

Overall, we think the pop-up tips can be a bit vague. However, we like how nTask implements them, and we like even more how you can get rid of them with one click, never to see them again.

Customer Support HighTechBlogging

If you don’t like pop-ups, you can always check out the huge archive of useful articles, plus the tutorial videos on the YouTube channel. In our opinion, they’re all useful, although the videos lack the depth you’ll find in TeamGantt or Asana, and the articles can be a bit sparse in detail.

If you get stuck, there’s always support, either via chat or email. Chat can be activated with the text bubble at the bottom right of the screen and is probably the best option for small problems: answers usually arrive in about 10 minutes. Email is reserved for more complicated problems, but takes longer. In both cases, we received clear answers that solved our problems.

9.2Expert Score
Verdict

Overall, nTask impresses with its affordability, robust features, and user-friendliness. Its variety of views and strong customer support enhance its usability. However, some privacy apprehensions and limitations on self-hosting may give potential users pause. With a remarkable score of 9.2 out of 10, nTask stands as a powerful contender in the project management software landscape.
